The strategic expansion of the platform to integrate psychiatric clinics is a logical step due to their dual role: they are both frequent users of OPAN® as referrers and recipients of many transfers from acute hospitals. For the latter, a nationally established solution has been lacking until now. OPAN® addresses this gap and offers a comprehensive platform for outpatient and inpatient aftercare institutions, covering and optimizing the entire referral process.

This structured approach promotes targeted communication and prevents the loss of important information in the flood of emails.

The interfaces provide easy access to application details and associated documents. Automatic data updates minimize administrative effort. The system supports legally compliant, long-term data storage and archiving.
Seamless data integration fully digitizes the application process, increasing efficiency and reducing error sources. This functionality promotes optimal use of the OPAN® platform in conjunction with existing IT systems of healthcare facilities.
The OPAN® case communication module enables the structured exchange of information on patient cases within and between healthcare facilities.
It distinguishes between internal and external comments, with internal comments visible only to the user's own organization. The module provides a chronological comment history, facilitating the tracking of decision-making processes. For data protection reasons, comment contents are not sent by email; instead, users receive notifications about new comments. Notification settings are customizable. Comments can be marked as read and are visible in PDF documents. The module supports integration into existing systems through interfaces.
The OPAN® capacity management module enables efficient management and communication of available spaces in outpatient and inpatient aftercare institutions. Referrers receive real-time access to current capacity information, including detailed information on various offers and room categories.
Providers can easily update capacity data via a user interface, choosing between exact numbers and general availability. The system offers customizable reminders for regular updates.
It reduces administrative effort by minimizing phone inquiries and redundant transmissions to hospitals. This optimizes the referral process and occupancy efficiency for all involved.
OPAN® Management Account
The OPAN® Management Account allows institutions to manage their customer account with multiple users. Functions include access to the backend, a dashboard for application and request overviews, and management of sent applications and messages. The Management Account supports case communication, notification settings, and provides usage statistics. Customers can view users and maintain master data. Advanced features include interface configuration with IP whitelisting and individual instructions for internal users.
The account optimizes the use of the OPAN® platform for institutions, enables efficient data management, and improves control over organization-specific settings and processes.
Configurable Organizational Structure
OPAN® implements a hierarchical organizational structure that is individually customizable. The system allows the integration of various service providers at different levels within a hierarchy tree. This structure supports a differentiated assignment of user permissions. Thus, complex organizational forms, such as healthcare regions, can be established as coordination centers for various institutions (e.g., nursing homes and home care services). Each organizational unit can include its own sub-organizations.
This flexibility allows for an accurate representation of real organizational structures and supports efficient management of users and their access rights.
Flexible Forwarding in OPAN®
OPAN® offers functions for internal and external forwarding of applications, messages, and requests. Internally, entries can be forwarded between departments, for example, from central dispatch to triage. Externally, the system allows forwarding to partner organizations.
Providers can link as many partners as needed, such as home care organizations, freelance nurses, nursing homes, or other healthcare facilities. If necessary, for instance, when a task cannot be performed by oneself, an application can be forwarded to a partner. The partner is automatically notified and assumes responsibility for the application. This functionality promotes efficient work processes and resource utilization.
Statistics & Reporting
With OPAN®, organizations and groups can retrieve comprehensive statistics. These include, for example, which organization has sent how many applications to which provider. Providers can thus identify their main referrers and see who sends the most applications or messages.
These statistics support the analysis of admission and discharge processes and enable targeted optimization. They provide valuable insights that contribute to improving collaboration and efficiency among the various stakeholders in the healthcare sector.
OPAN® Single-Sign-On
The OPAN® Single-Sign-On (SSO) module enables federation between the institution's own IAM solution and the OPAN® platform. It supports seamless SSO, allowing users to access OPAN® directly without a separate login. The system allows role-based user provisioning, customizable to individual needs. Supported authentication methods include Microsoft EntraID, OpenID Connect, and HIN (only for personal identities via HIN AGW).
This feature is only available in combination with the OPAN® Management Account and optimizes user management and platform access for institutions.
